How to Create the Perfect Sales Invoice

Creating and sending invoices is a core part of running your own business, but what makes an invoice “perfect”? Whether you’re new in business or just want to tidy up your process, here’s what you need to include to look professional, get paid faster, and keep your records clear.
1. Your Business Details
Business name (or your own name if you’re a sole trader)
Address (and registered office address if you have one)
Contact details (email and phone)
Company registration number (if you’re a limited company)
VAT number (if you’re VAT registered)
Your company logo and branding
2. The Client’s Details
Name of the person or business you’re invoicing
Their address
3. Clear Invoice Numbering
Every invoice should have a unique number, this keeps your records straight and helps if HMRC ever asks for proof
Use a simple sequence (e.g., 001, 002, 003) or add the year/month (e.g., 2024-001)
4. Invoice Date and Due Date
The date you issue the invoice
The payment due date (e.g., “14 days from invoice date”)
5. Description of Goods/Services
List what you provided, with clear descriptions
Include quantities, rates, and totals for each item
6. Amounts and Totals
Subtotal (before VAT)
VAT amount (if applicable)
Total amount due
7. Payment Terms & Methods
When payment is due (e.g., “within 14 days”)
How to pay you (bank details, PayPal, etc.)
Any late payment terms or fees
